Introductions
Abi: Budget Review (VPs)
Plan: Make sure that there are enough events taking place and if you’re numbers match the numbers Abi has.
Steffenie:
LEAD week: If the next lead week person wants to hold more expensive events (ex: Henry Art Gallery), that is more expensive.
Winter party: Hosting a drink for everyone is tricky because a lot of people don’t show up. For the pub crawl, Stef will purchase pitchers which allows her to control the money spent a bit easier.
She hasn’t rented rooms because it is cheaper. This limits your options for venues but it can save you a lot of money in the long run.
Winter quarter budget is $2500. Whatever is left will go toward the Spring party.
Graduation party: $800 for graduation will be completely used.
Q: Are we providing alcohol for students who didn’t pay MBAA dues?
A: Yes. This includes evening students who opted out of the MBAA dues. The MBA Programs office pays for the food and we cover the alcohol.
Q: What do we need to do regarding parties for both evening and full-time students even though MBAA dues are provided inconsistently?
To do: Talk to Todd and Maryleen about evening student MBAA dues and how to allocate the MBAA funds between paying FT and paying evening students.
Tareyn: TGs
The TG budget does not cover all expenses. There is a lot fundraising involved in throwing the TGs.
According to Abi, her budget is $10125, not $9214. Tareyn provided a line-by-line breakdown of the typical TG costs.
Thank you gift to Georgetown Brewery – they give us the kegs at cost which saves us approximately ~ $100 per TG. Therefore, we want to give 24 pint glasses as gifts to the managers at Georgetown Brewery.
Kien: Issue – the new logo will be launched shortly so we might not want to give away the glasses with the logo.
Conclusion: Tareyn will use TG funds to purchase the 24 pint glasses as gifts regardless of the branding issue.
Amy: Core summary book – now on MBAA Wiki so it is free.
Amy has charges she has not yet submitted to the MBAA.
Q: Will students have the option to print the book or order it?
A: We’re not prepared to do that because the online version is much easier.
Q: What about proprietary professor information? How will that be protected?
A: Students will log on so that this information is only available to students.
Luke: International Student VP budget
Luke has approximately ~$500 left. He plans to talk to the newly elected VP and see if they want to do something in the spring (event) and use the rest of the budget.
Kien: UW branded items
The MBAA wants MBA branded gear to sell to students, give to speakers, etc…
Kien still wants money to buy new logo items.
Business cards: We went $600 over budget for business card purchases. This is because both the incoming evening and FT classes were larger and because only 40% of the evening class signed up for MBAA but the MBAA paid for the cards.
Comment: In the future, we need to come up with a plan to address business card purchases for non-MBAA members.
Kyle: $1500 – very unlikely it will be spent this year.
Q: Should we remove this budget?
A: Kyle’s not sure if this money should be earmarked unless there is a concrete plan. Example: a golf event should be planned no less than 6 months in advance, it should take place in the fall, not the spring, and it needs to be during a time when FT students can use it to network for jobs and first year students are excited about it.
Idea: Use this as an investment into the brand of the MBAA. Therefore, it can be a rolling item with no requirement to use.
Chris: $200 allocated, none used. Chris wants to save this to use for spring activities.
Todd and Maryleen: The current budget is available for evening student parties.
SSN? Is it a club or is it an informal event? The SSN is there for groups who want to join together on an ad hoc basis.
$100 budgeted, none spent
Tareyn: Significant Other idea
VP for spouses and significant others – host special spouse/SO events, kids & parent events, case competition happy hour
Allows spouses and SOs to have their own activities in the MBA program
Q: How is this sustained?
A: Leadership crew in the spouse group: Happy hours, park visits, outings, etc..
Q: What’s the advantage of having a VP vs. an unofficial spouse club?
A: To give it some roots – Spouses pay MBAA dues to participate. This helps offset the costs of family/spouse events.
Q: How do we do it so that it works for a school of our size?
A: We think there is still a need for this.
Q: Would we expect spouses to pay dues for TGs?
A: Similar to evening students; they can still participate but it would be more of an honor system to pitch in.
Proposal: Have council vote on this next time.
Next time: What to do with the phone room in the back? Is it for phone calls or TG/Huddle storage?
