President - Transition Documentation

Hello, new MBAA president! Here are some notes on the MBAA president role.

Primary Responsibilities
The primary responsibilities of the MBAA President are to:
  • Provide direction for the MBAA and use project management skills to help implement change
  • Work with your peers, the program office and faculty
  • Represent the MBA program at official functions
  • Represent your class as a permanent class agent
  • Leave the program better than when you found it
  • Promote MBAA (externally & internally: coffee breaks, etc..)


MBAA meetings
  • There should be at least five MBAA Council meetings per quarter.
  • Before the quarter begins, check with Barby to find out which Wednesdays the faculty meetings will take place. They take place on alternating Wednesdays.
  • Make sure not to schedule MBAA meetings on those Wednesdays -- the VP Academic Affairs and FT class reps need to attend the faculty meetings. Use those Wednesdays for exec council meetings.
  • Use http://www.freeconference.com/ to schedule phone conferences for evening students and others who are not able to be at MBAA meetings in person.
    • You can pick up calling cards for these phone conferences on the Rite-Aid on the Ave and get reimbursed by the MBAA Treasurer.
  • Ask the MBAA Secretary to add MBAA meetings to the events calendar and reserve rooms (preferably the McCabe conference room in MacKenzie) that have a phone.
  • Let the MBAA council know when all MBAA meetings will occur before the quarter begins.

People you'll work with
  • Dean Jim Jiambalvo
    • Meet with him at least once a quarter to schedule Breakfast with Jim events
  • Corinne Goellnitz
    • Dean Jiambalvo's admin -- schedule meetings with the Dean through her.
  • Dan Poston
    • I recommend meeting with him weekly throughout spring quarter, and bi-weekly throughout autumn and winter quarter.
  • Barby Pearson
    • She is a wealth of information on budget and operational issues. At the beginning of spring quarter, I recommend setting up a meeting with her and the MB AA treasurer to learn about how the MBAA budget and Program Office interact.
  • Paula Klempay
    • Check in with Paula periodically to keep her updated on how your classmates are doing with the career search.
  • Tim Hossain
    • He'll check in with you periodically on Admissions issues. You should be involved with Admit weekends and be active on the new student discussion board.
  • Maureen Crawford
    • She organizes quarterly class agent meetings. Before spring quarter begins, email her and request that you and the new VP of alumni affairs be added to her mailing list. You and the VP of alumni affairs are both class agents.
  • Jennifer Kitchen
    • Undergrad Student Activities Advisor -- she'll help you coordinate activities with the Undergraduate Business Council. The undergrad leadership is doing a tremendous job rallying their students -- they're inspiring to work with and I recommend trading best practices with them.

MBAA Budget
  • The MBAA budget must be passed by the end of Spring quarter. It is passed by a 2/3 vote by the MBAA Council.
  • Start discussing the budget planning process with your exec team at the end of winter quarter.
  • There are several budget line-item owners: club presidents and MBAA council members who are in charge of a line item in the budget. Budget line-item owners should present their annual requests for review by the MBAA council as soon as possible.
    • The MBAA treasurer should kick-start this process during the first week of spring quarter by emailing all budget line-item owners.
    • We tried having all budget line-item owners come to MBAA council meetings and present their requests. We found that this took up a *lot* of time and was often necessary. It's better to have them submit requests via email to the treasurer, who can present them in MBAA meetings. If any questions arise,then budget line-item owners should come in to clarify for the council.

Quarterly Tasks
All quarters
  • Share announcements at coffee breaks. Use these for recognizing students and announcing upcoming events.
  • Attend all clubs meetings
  • Facilitate all exec and full-council MBAA meetings; email out agendas beforehand.
  • Regular meetings with Dan Poston (every other week)
  • Meet with Jim Jiambalvo at least once a quarter


Spring
  • Schedule spring quarter meetings
  • Work with EVP to organize strategic planning meeting with Hitachi consultants.
    • MBAA councils in previous years used this to form One Idea initiatives (one initiative for every council member) -- we switched to forming group initiatives.
  • Get active on the new student discussion board; make sure officers / VPs are also active on there.
  • Work with the VPs of Student Affairs to plan out LEAD week.

Summer
  • Communication with new students:
    • In June, write a letter to admitted full-time students - send this to Barby, who will include it in a summer newsletter.
      • Write another letter to admitted evening students, which goes into their newsletter.
    • Stay active on the admitted students discussion board.
    • In August, write a letter welcoming new full-time students -- this will go in the binder they receive at the beginning of LEAD week.
      • Write another letter for admitted evening students, which goes into their binder.
  • Communicate with the MBAA council throughout the summer (I sent out newsletters -- they are archived here. Review those to get a sense of what our issues were in summer 07.)
  • If possible, meet in person with members of your exec team.
  • In June, make sure to meet the new GMBA students. I went out to brunch with a group of them.
  • Later in the summer (August), come in an speak about the MBAA at a lunch meeting with all GMBA students. Barby will work with you to coordinate this.
  • The new EVP should be making sure clubs update club websites. They should get started on this as early as possible -- late spring quarter is ideal. August is the latest that websites should be updated with new information.
  • Attend summer TGs and use them as a way to get incoming students to sign up for the MBAA. We held raffles at summer TGs for people who came with their MBAA membership checks.

Autumn
  • Schedule and communicate Autumn quarter meeting dates
  • LEAD week
    • Speech to incoming class (full-time and evening)
    • Be involved throughout LEAD week -- get to know the new class and make yourself available for questions.
  • End of autumn quarter: start planning for winter quarter elections
  • As a Leadership Fellow, encourage 1st-years early on to start thinking about a leadership track, and ask other Leadership Fellows to do the same with their teams.

Winter
  • Schedule winter quarter meeting dates
  • Transition documentation: ensure that all council members are completing theirs
  • Early in quarter, finalize and communicate election timeline
  • Communicate election timeline and work to ensure that 1st-year students run for positions
